Getting Started
This page helps you find your way around. Once you know where things live, every other screen will feel familiar.
Logging in
Open the Invoay ERP website, type your email and password, and you'll land on your Dashboard.
💡 Tip: If you're the owner, you'll see all your stores. If you're a staff member, you'll only see the stores and pages your owner has given you access to.
The top bar
The dark bar across the top of every screen is your main way of getting around.
Your business name (top-left)
Click your business name to open the dashboards menu:
- Dashboard – your home screen
- Profitability Dashboard – profit and costs
- Employee Utilization Dashboard – how busy your team is
- Multi Store Dashboard – all branches together (only shown if you have more than one store)
The main menu
Next to your business name you'll find the main sections:

| Master | The basic lists everything else is built on — categories, items, packages, payment methods, memberships |
| Inventory | Buying stock, checking what you have, moving stock between stores, petty cash |
| Customers | Your customer list and customer reports — repeat visits, lost customers, pending amounts, loyalty points, bookings |
| Marketing | Coupons, offers, gift vouchers, referrals, cashback and birthday/anniversary wishes |
| Reports | Sales, GST, purchases, expenses, profit and loss, messaging and more |
| Employees | Staff details, shifts, attendance and incentives |
| Setup | Store settings, messaging, billing counter settings, staff roles and your subscription |
Hover over or click a section to open it. Items with a small arrow open a second list.
Not seeing an item that a colleague can see? Some items only appear when a feature is switched on for your account. The menu map lists every item and when it appears.
The buttons on the right
| Button | What it does |

| Hello, your name! | Opens a small menu with Change Password and Log off |
| Green WhatsApp button | Hover over it to see the status of your WhatsApp connection; click it to open your WhatsApp settings |
| Full Screen (four arrows) | Hides the browser's toolbars so you get more room — great for reports. Click again or press Esc to go back |
| ? (Helpdesk) | Opens the Invoay Helpdesk in a new tab |
Working with stores
Most screens have a Store drop-down. Pick a store and the screen shows that store's numbers.
The ERP remembers the last store you picked, so the next screen you open will usually already be on the same store.
Picking dates
Most screens let you choose a From date and a To date. Pick your dates, then press the refresh button (🔄) or Apply to update the screen.
The newer dashboards use a date picker with handy shortcuts — Today, Yesterday, Last 7 days, Last 30 days, This month — or you can choose Custom and pick any two dates on the calendar.
Messages you might see

| "You are not authorized to access this page. Please contact admin." | Your user hasn't been given access to this page | Ask your owner or manager to give you access |
| "You are not subscribed to this feature." | This feature isn't part of your current plan | Contact Invoay Support if you'd like it |
| Session Expiring | You've been inactive for a while and will be logged out soon, to keep your data safe | Click OK to stay logged in |

- Create a Ticket link at the bottom of every page → raise a request with our support team
- Privacy Policy link at the bottom of every page
