Book an appointment

👤 For: Front-desk staff and receptionists


Steps​

  1. Open the Appointment tab.
  2. Start a new booking, either:
    • tap an empty slot on the calendar at the time you want, or
    • tap âž• Add (on a phone, + Add).
  3. Choose the customer. Tap Search & Select Customer, type their name or phone number, and pick them. New customer? Type their phone number or email, then tap Add New. See Add a customer.
  4. Add services. Tap Search & Select Service and pick a service. Each one shows its price and time (e.g. 45 Mins).
  5. Choose the staff member for each service when asked. Staff who are already booked at that time are marked BUSY, and those who haven't checked in today are marked ABSENT.
  6. Add more services if needed. The list shows each service's Price, Time(mins) and the Total.
  7. (Optional) Tap Extra details to:
    • add a Remark, e.g. "Wants a quiet room"
    • choose a Room
    • tick Start service at same time if several staff will work at once (for example, a pedicure and manicure together)
  8. Tap Save. 🎉

The appointment appears on the calendar.


Good to know​

  • Birthdays and reminders. Just like billing, you'll see the customer's last remark and any birthday or anniversary reminders when you choose them.
  • Only services can be booked. Products are added at billing time.
  • Change the price or time. Tap a service in the list to change its Sale Cost (if your store allows price changes) or its Service Time in minutes.

Store options that change booking​

🔓 Optional feature: Book in the past Normally, you can't book an appointment for a time that has already passed. You'll see "Appointment Booking for Past Time is Disabled." To allow it, ask your admin to turn ON IsPastAppointmentBookingEnable (under Appointment Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Double-booking staff Normally, staff who are already booked at that time are marked BUSY. If your store allows overlapping appointments for the same staff member, nobody is marked busy. Ask your admin about AllowAppointmentOverlapForEmployee (under Appointment Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Only staff who've checked in If your store has this turned on, staff who haven't checked in today are marked ABSENT when you book for today. Ask your admin to turn ON AllowOnlyAttendanceLoggedEmployeesInAppointment (under Appointment Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Room required Some stores (spas, for example) require a treatment room for every appointment. You'll see Room Required: Please Select Room for Appointment. until you pick one. Rooms already booked at that time are marked as busy. Ask your admin about IsRoomRequiredForBookingAppointment (under Appointment Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Pending amount reminder If your store has this turned on, choosing a customer who owes money shows the Pending Amount window, so you can collect it. See Settle a pending amount. Ask your admin to turn ON ShouldCheckPendingAmountInAppointment in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Split work between staff If your store allows several staff members per service, you can pick more than one and set each person's Work Percent, just like in billing. See Pick the staff member.
