Add products and services to the bill

👤 For: Cashiers and front-desk staff

There are three ways to add something to the bill. Tap it, search for it, or scan it. Use whichever is quickest for you.


Option 1: Tap an item tile​

  1. On the billing screen, tap Products or Services.
  2. Tap a category (for example Hair), and a sub-category if there is one.
  3. Tap the item to add it to the bill.

Tapping the same item again adds one more (the quantity goes up).

💡 Tip: The row at the top (Home â€ē Services â€ē Hair) shows where you are. Tap any step to jump back. On a phone, you can also use your device's Back button.

What the small label on each tile means:

  • Qty: 12: a product, with 12 in stock.
  • time: 45: a service that takes about 45 minutes.

â„šī¸ Note: Products that are out of stock don't appear as tiles, unless your store allows selling out-of-stock items. See Out-of-stock items below.


Option 2: Search by name​

  1. Tap the search bar at the top of the billing screen, or press F5 on a computer.
  2. Type part of the item's name or its barcode, for example "sham".
  3. Tap the item in the results. A small P means product and S means service.

Press Esc to close the search.


Option 3: Scan a barcode​

Just scan the product's barcode with your scanner while the search bar is active. The item is added straight away. If nothing matches, you'll see Item Not Found.

Fast scanning for busy counters​

When you have lots of items to scan, turn on fast scan:

  1. Tap the barcode button (â–Ĩ) next to the search bar. It turns green, and you'll see Barcode Machine Fast Scan Enabled.
  2. Scan items one after another. Each one is added instantly, with no tapping needed.
  3. Tap the button again to switch fast scan off.

🔓 Optional feature: Fast scan The fast scan button is always available on Windows computers. On other devices, it appears only if it's turned on for your store. Ask your admin to turn ON IsBarcodeMachineFastScanEnabled (under Cart Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Weighing-scale barcodes If you sell loose items by weight (fruit, sweets, dry fruits and so on), Simple POS can read the weight straight from the label printed by your weighing scale. The correct quantity is filled in for you. Ask your admin to turn ON IsWeightBarcodeEnabled (under Cart Settings) in the back office settings. If the setting is not available, please contact Invoay Support.


Pick the staff member who did the work​

For services (and sometimes products), Simple POS may ask who did the work, so their commission and reports are correct.

  1. After tapping an item, a Choose Employee list appears.
  2. Tap the staff member's name. You can type in Search Employee By Name to find them quickly.

Next to some names you may see:

  • BUSY: they're already with another customer.
  • ABSENT: they haven't checked in today.

You can still choose them if needed.

🔓 Optional feature: Staff selection Whether you're asked to pick a staff member depends on your store's settings. It can be turned on separately for services, products, packages, gift vouchers and more. Ask your admin to turn ON the matching setting: IsEmployeeRequiredService / IsEmployeeRequiredProduct (under Product Service Settings), IsEmployeeRequiredPackage (Package Settings), IsEmployeeRequiredForGift (Gift Settings), IsEmployeeRequiredMembership (Membership Settings), IsEmployeeRequiredMembershipWallet (Membership Wallet Settings) or IsEmployeeRequiredLoyalty (Loyalty Point Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

🔓 Optional feature: Choose male or female staff first Some stores first ask "Select Employee is Male Or Female" to narrow down the list. Ask your admin to turn ON IsMaleFemaleEmployeeEnabled in the back office settings. If the setting is not available, please contact Invoay Support.

When two or more people worked on one service​

🔓 Optional feature: Split work between staff If your store allows it, you can pick several staff members for one service and share the credit between them. Ask your admin to turn ON IsMultipleEmployeeEnabled (under Product Service Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

A group is the team of staff members who worked on the service together. You'll start in Group 1.

  1. Tick each staff member in the team.
  2. Enter each person's Work Percent, which is their share of the work. For example, Anita 60 and Ritu 40.
  3. Tap Select.

Good to know:

  • The percentages within a group must add up to exactly 100%. Otherwise you'll see "Work Percent Total for Group 1 Must be 100%".
  • Everyone you tick needs a share. Nobody can be left at 0%.
  • If another team of staff also worked on the service, tap + Add New Group, pick that team, and share their 100% the same way. Each group is counted separately.

💡 Example: A bridal makeup done by Anita and Ritu together: tick both in Group 1, set Anita 50 and Ritu 50, and tap Select.

Same service, different staff​

🔓 Optional feature: Separate lines for the same item Normally, adding the same service twice just changes the quantity to 2. If your store has this turned on, each one gets its own line, so you can give each one to a different staff member. For example, two haircuts by two stylists. Ask your admin to turn ON IsMoreThanOneEmployeeForSingleServiceEnabled (or IsMoreThanOneEmployeeForSingleProductEnabled for products) (under Product Service Settings) in the back office settings. Extra steps you might see​

Choose a batch​

🔓 Optional feature: Product batches If your store tracks products by batch, a Select Product Batch list may appear when you add a product. Each batch shows its quantity, expiry date and MRP. Tap the batch you're selling from. If there's only one batch, it's picked for you. Ask your admin to turn ON IsProductBatchEnable in the back office settings. If the setting is not available, please contact Invoay Support.

Enter item details (IMEI, serial number, and so on)​

Some products, such as phones or appliances, are set up to ask for extra details. An Item Extra Details box appears asking for one or more of:

  • IMEI Number (15 or 17 digits)
  • Series Number
  • Custom Data

Fill them in and tap Save.


Out-of-stock items​

By default, Simple POS won't let you sell more than you have in stock. If you try, you'll see:

  • Negative quantity not allowed in Cart: the item is out of stock.
  • insufficient quantity, with the amount still available: you're trying to sell more than you have.

🔓 Optional feature: Sell out-of-stock items If you'd like to sell items even when stock shows zero (for example, when stock is delivered but not entered yet), ask your admin to turn ON AllowNegativeStock (under Cart Settings) in the back office settings. If the setting is not available, please contact Invoay Support.


AI Recommendation​

🔓 Optional feature: AI Recommendation If it's turned on for your store, a glowing AI Recommendation button appears above the item tiles. Tap it, choose the customer if you haven't already, and Simple POS suggests products and services they're likely to enjoy, based on their past visits.
