Exchange an item

👤 For: Cashiers and store managers

Customer wants a different shade, size or flavour? An exchange swaps the product they bought for another one at the same price, with no money changing hands.

🔓 Optional feature: Item Exchange If you have the Item Exchange feature, you'll see an Item Exchange tile in the Return tab. Ask your admin to turn ON IsItemExchangeEnabled (under Bill Settings) in the back office settings. If the setting is not available, please contact Invoay Support.

Steps​

  1. Open the Return tab and tap Item Exchange.
  2. Type the bill number in the Bill ID box.
  3. In the Bill Particulars list, tap the product being exchanged.
  4. If they bought more than one, enter the Exchange Quantity, then tap Add To Exchange.
  5. Search for the new product and tap it.
  6. Repeat for any other products. The bottom of the screen shows the Exchange Item Count.
  7. Tap Exchange Items.
  8. In the Exchange Item Details window:
    • (Only if your login isn't allowed to do exchanges) An authorised person enters their Employee Login Id and Employee Password. The person approving must be allowed to return items. That's the permission checked for exchange approvals.
    • Type an Exchange Reason, for example "Wrong shade".
  9. Tap Exchange.

You'll see Exchange Item successfully! and an updated receipt prints automatically. 🎉

Picked the wrong item? Tap it again, then tap Yes to take it off the exchange list.

Rules for exchanges​

RuleMessage you'll see if it's broken
Only products can be exchanged, not services."…only Product Exchange Allowed."
The new product must be different from the old one.Exchange Item must be different.
The new product must have the same price and the same tax.Exchange Item must have same Cost.
The product must be set up as exchangeable."…Item Exchange is disable in Item master."
The bill must be within your store's exchange period.Item Exchange Time Expired

💡 Tip: If the new product costs a different amount, do an item return for the old one, then make a new bill for the new one.
